Murrindindi Shire Council has an exciting temporary opportunity for an Infrastructure Procurement & Contract Management Officer to join the Sustainability & Assets Department. This role will work in the Capital Project Delivery team ensure the efficient and timely processing of procurement processes for projects and to provide administration support for tenders through our tendering system along with the associated contract management.
About this opportunity
This role provides backfill for the current officer who is seconded to the Bushfire Recovery team. In this role, the Infrastructure Procurement & Contract Management Officer will provide support, advice and assistance to the Capital Project Delivery Team. You will be valued for your knowledge and expertise in procurement and administration in relation to contracts and tendering, management of council’s electronic contract management system and overall support of the procurement function.
It is for an initial period of 9 months which will be reviewed and will depend on the progress of Bushfire Recovery projects. The current Infrastructure Procurement & Contract Management Officer will be available to provide guidance.
This role includes:
Providing administrative support related to the procurement and contract management process for all Capital Projects, including but not limited to:
Data entry in Council’s electronic project management system
Coordinating the initiation of procurement processes
Initiating procurement documents – including tenders, requests for quote and contracts for the project managers to complete.
Coordinating advertising, loading of documents to the electronic tendering system and being a point of contact for initial enquiries.
Providing administrative support in relation to the evaluation and approval process.
Drafting response letters and associated documents when required.
Raising purchase requisitions.
Monitoring the contract milestones and supporting project managers to meet contract process requirements (for example, regular meetings and supplier reviews)
Working closely with the Procurement and Risk Management Coordinator to ensure the procurement process is managed to a high standard.
Providing high quality, proactive customer service for users of procurement policies, processes and systems.
Providing administrative support to the procurement and contract management electronic project system
Assisting Council contract managers with tender / contract negotiation and dispute management administrative support.
Ensuring procurement activities are undertaken in accordance with Local Government Act requirements and Council policy and procedure requirements.
What will you bring
To be successful in this role, we are seeking someone with:
Excellent administrative skills, experience in supporting a team and delivering outcomes in required timeframes.
Ability to work independently and prioritise tasks
A strong customer service focus
Sound research, analytical skills and a high level of accuracy and attention to detail
A high level of diplomacy, discretion and integrity in dealing with processes relating to confidential information and procurement.
Developed ability to produce timely and effective written reports, and complete administrative tasks associated with this role.
Demonstrated quotations/ tenders or contract drafting skills (desirable)
