Band 5 - Full Time / Fixed Term until February 2027 (secondment cover) with potential for ongoing work in Council

We need a team player who has a keen eye for detail and a love of assisting others to help us manage day-to-day people and culture tasks. You’ll work closely with both our internal customers (colleagues) and external customers in terms of job applicants, to provide accurate and timely human resources support and contribute ideas to improve how we do things. This role will have a strong focus on enhancing the employee experience in relation People & Culture (P&C) functions such as recruitment, induction, on and off boarding and training and development activities. It is ideally suited to someone who has exceptional administration skills and has an interest in the human resources field. 

About this opportunity 

The Administration Officer – People & Culture will support the delivery of a full range of human resource administration functions. This role will be the first point of contact for P&C queries and will provide advice on a variety of P&C processes. You will also be involved in projects and initiatives aimed at enhancing the employee experience, supporting you to develop your P&C knowledge. 

Responsibilities will include: 

  • coordinating and administering the recruitment and selection, onboarding and off boarding processes and programs, including placement of job advertisements, reviewing of position descriptions, and preparing of all relevant employment documentation 

  • working with the People & Culture Business Partner in providing advice, including banding assessments for Position Descriptions and applying Council's Enterprise Agreement 

  • supporting managers and employees to adhere to Council’s P&C policies, systems, processes and activities 

  • participating in recruitment selection panels, for roles advertised internally and externally (as required) 

  • supporting work experience/ placement requests and assist with administration of employment initiatives, apprenticeships and traineeship schemes 

  • assisting in running of reports and data for People & Culture analytics including recruitment statistics, performance reviews, people data and other P&C metrics 

  • working collaboratively with the Payroll Officer, including being the back up for the running of the fortnightly pays in the Payroll Officer’s absence and undertaking the pay-checking process with the Payroll Officer prior to the fortnightly pay runs 

  • ensuring P&C information system data is accurate and appropriately maintained including following processes for P&C and Payroll processes 

  • maintaining confidentiality of P&C matters and records 

  • assisting in the Staff Development and Annual Review Process as required such as supporting supervisors and employees to complete and record the process within the approved timeframe and collate and report on training needs. 

In addition, you will have the opportunity to participate in projects that develop your human resources knowledge, including: 

  • review of the recruitment and selection process including a review of our current process and forms 

  • updating P&C information, including key forms located on Council's intranet, used by the wider organisation 

  • reporting on and developing P&C data and metrics to support Council functions and initiatives including our Gender Equity and Workforce Plan 

What will you bring 

  • A commitment to finding ways to improve the employee experience. 

  • Demonstrable experience in an administrative role with an ability to prioritise, be highly organised, maintain attention to detail and manage delivery of work within set timeframe. 

  • Excellent communication skills - both written and verbal and apply discretion in the management of confidential employee information. 

  • Ability to establish and maintain strong relationships and to work effectively at all levels in an organisation and within a team. 

  • Strong problem-solving skills, flexible and adaptable; resilient and perseveres in challenging and ambiguous situations with multiple competing priorities. 

  • Intermediate to advanced Microsoft Office skills with an ability to use technology to facilitate better processes and practices. 

  • Whilst not essential, applicants with some exposure to providing broad operational People & Culture support, knowledge of the Fair Work Act and Council’s EBA or participation on recruitment processes is desirable.
